Dear Ash and Carrie

I write to answer a few of the issues you have raised regarding last weekends Burnt is Clean event. I assure you I only wish to put our side of things and wish to do this in a constructive and non hostile way. I just want to put the record straight and wish to do this without prejudice or malice. We really do hope that you guys come along again and experience an entire event before you pass judgement upon us.

Water
The water at Caddihoe is safe to drink at the moment. It has been a problem in the past that flood water has backed up in the sump and contaminated the supply. We have previously been caught out on this so we made the decision to inform everyone that the water is not safe and informed everyone to bring their own water. I produced a newsletter that was sent out over a month in advance to advise of this. A copy of this newsletter was also posted on the forum as a sticky thread. You applied to attend the event 2 weeks before the event, a day before I was on holiday for a week and the following week perhaps I was busy preparing for the event. In hindsight the water situation could have been made clearer to you.

However and this is a big however, we did provide bottled water and this was available in the kitchen for all to use, you only had to ask and this would have been pointed out to you. We even arranged an additional run to the shops to get more water and supplies on Saturday. Thus this gripe is totally unsubstantiated and without merit.

Food and forks
Yes, there was a minor problem with the food, due to the cook misunderstanding the term white meat, she had not prepared anything specific for you on the Friday night but was prepared to make the best she could. We did however specially purchase some chicken and had alternatives available for the other meals. As for cutlery and plates I agree that it was not made clear that these were not provided. However I know of very few events where they are. Again on a communication level, had you actually asked anyone to borrow a plate or bowl I am sure that no one would have denied you. As for IC stealing a plate, I can see no difference between IC and OC stealing a plate, please, if you had the common decency to ask, you would have been provided for.

Red mage syndrome
It took me a while to work out what this was all about but I got there in the end. Basically cliques. Any event where you have a group of established role players who have been playing together for almost 15 years they are going to be quite a gang. Especially on the Friday night where they are catching up with other and the beer is flowing.

You went in full force and in their faces, without getting their measure first, thus no one should be surprised that you were repelled. I understand that most of the other players were friendly and forthcoming with you. In any event there are bound to be issues with other players, to me this is half the fun of role playing, finding a way, in character, to best them or to stitch them up. This is a game of pir*tes and n’er do wells after all, not the happy tree elf friends club.

I have been to so many events and feel it is my responsibility to integrate myself with other groups, find out what they want, prove my worth to them, not just be accepted on face value. I would not expect to go up to any faction or group in any game and say ‘hello I am such and such, let me in’, these things take a bit of time, if you go in guns blazing then expect to be blazed back.

And lets just get this straight for the record, we are talking about a bunch of 4 girls. (Of course not that them being girls has any bearing on the matter)

Attempts on your life
As for attempts on your characters life, really? At a role play event? Shocking, I must get this sorted immediately.

The other newbies
I do not wish to speak on their behalf and neither should you. Seeing as you went to bed early on the Friday night and then promptly left, I feel that you are in no position to comment on how others viewed the event as a whole.

Costs
Yes £75 is expensive as events go, but I put forward that you get what you pay for. This is a non profit making club and all monies are spent on the props, costume, musical entertainment, site and food. I fail to see how you can comment on the quality of our kit when it was dark in the crew barn and most of the kit on Friday night was still in boxes and suitcases as we had only unpacked a few things we required for Friday night.

I used to make weapons and costume professionally and make the kit for the love of it - to the detriment of spending time with my wife and children. All the club purchases are the materials as cheaply as possible and a team of us turn it into costume and kit at no fee for our considerable time or efforts.

I don’t know if you have ever tried to organise an event before, but if you think you could do it for £25 then would be happy to come along. Site fees are approx £250, for an awesome in character cottage surrounded by acres of woodland, £150 gets you in character cuisine of the highest order for players and crew. Based on 15 players (our max to keep a tight event) you are already £25 out of pocket before you even consider purchasing weapons, costume, props, musical entertainment, admin expenses, website fees, drinking water, petrol etc etc etc. To achieve what we do and the favours will pull from friends, just about makes things break even.

Feedback
As a team we appreciate any feedback at all on our events. We a small club running only one or two events a year and we like to get things right. Therefore any comments people have to improve or constructive criticisms are really appreciated. Thus I admit that I was saddened when I happened to be trawling google for search rankings (sad I know) that I stumbled upon your blog.

To write this feedback without giving us a reasonable chance to answer any of the points put forward is definitely bad form. On the plus side you did say some nice things about us too and we do appreciate that. Any feedback should be put to our faces and to give us fair chance to reply and to put things right. For instance if the water really was a problem do you not think that it was worth telling us, so that others do not have to suffer the same dehydrated fate? (Not that it was a problem – see above)

Nearly there
We are concerned that you had a rough time. At no time were any of your problems communicated to us so that we could put things right. Simple communication from yourselves would have solved most of your issues, instead you choose to get an early night and leave the next morning without giving us a chance to put things right. From the very start we made clear that you could play on the Friday night and get a feel of things and if you wished or if we were short of crew, then you could come and crew for us. We made it clear that if you were to crew for us there would be no charge for the event and that we would feed you. We arranged a lift for you to attend the site and even offered to take you home when you said you had toothache, again I restate at no time were your problems raised with us.

Remedial action
I will update the website to ensure the water situation is made clearer. I will also update the site to make clear that you need to bring a plate to put your food on and a knife and fork to eat with. I will also make it clearer that if anyone has a problem or issue then to raise it with a ref so that it can be sorted out.

To conclude
I wish to reiterate that we appreciated your attendance and very much wish you to attend again. Hopefully with a bit more preparation and communication we can provide you with an entertaining time. There are a multitude of systems and styles of role play (not like when I was young) and if what we do is not for you then so be it, however I ask you give us a chance and at least judge us on an entire event rather than one drunken Friday night.
